Job Description

The ACE Agency, a Southern CA based communications agency seeks a part time bookkeeper and executive assistant. The role will combine financial record-keeping with administrative support duties and involve maintaining accurate financial records, including accounts payable and receivable, payroll and reconciliations, while also providing administrative assistance to the company CEO including scheduling, managing communications and handling office and human resources tasks.

Skills and qualifications:

  • Strong bookkeeping skills and knowledge of accounting principles
  • Proficiency in accounting software (QuickBooks Online, ADP, Microsoft Excel)
  • Strong administrative and organizational skills
  • Excellent communication skills (written and verbal)
  • Ability to multitask and prioritize tasks effectively
  • Attention to detail and accuracy
  • Ability to work with confidential and sensitive information
  • Two letters of reference and two contacts for phone reference checks

Key responsibilities:

Bookkeeping

  • Recording financial transactions
  • Maintaining general legers, accounts payable and accounts receivable
  • Preparing financial statements and reports
  • Reconciling bank statements and credit card statements
  • Processing payroll and payments

Executive assistance

  • Managing calendars and schedules for the CEO
  • Coordinating meetings, travel arrangements and events
  • Handling correspondence, emails and phone calls
  • Providing general administrative support including filing, record-keeping and office management
  • Supporting new client intake and onboarding
  • Maintaining office supplies and equipment

Employee relations

  • Policy communication and enforcement
  • Employee engagement including team building event planning
  • Salary and wage administrations
  • Benefits administration overseeing health insurance, 401k, paid vacation and other benefits
  • Compliance management
  • Job posting and advertising
  • Recruitment candidate screening and selection support
  • New hire onboarding and orientation

Assisting with special projects as needed

Time and compensation:

  • Part time work with hourly compensation based on experience
  • Part time remote work, part time in office
