Job Title: Executive Assistant / Personal Assistant
Location: Hybrid - Maple Grove, MN (must be able to commute across the Twin Cities as needed)
Employment Type: Full-Time

Position Overview

Beacon Hill's client is seeking a highly organized, proactive Executive Assistant / Personal Assistant to serve as the trusted right hand to the Owner. This hybrid role is based out of Maple Grove, MN, with flexibility for remote work but requires regular on-site presence and the ability to commute across the Twin Cities to support both professional and personal needs.

The ideal candidate thrives in a fast-paced environment, brings exceptional organizational skills, and can seamlessly pivot between executive support and personal tasks. Candidates must have 3+ years of experience as an Executive Assistant, Personal Assistant, or in a high-level support role

Key Responsibilities

Executive Support

• Manage the Owner's calendar, including meetings, appointments, and travel logistics
• Oversee email and phone correspondence, ensuring timely follow-ups and organization
• Prepare presentations, reports, and documentation as needed (MS Office Suite proficiency required)
• Coordinate with internal and external stakeholders with professionalism and discretion
• Maintain confidential files and handle sensitive information responsibly

Personal Support

• Manage errands such as scheduling appointments, personal shopping, and coordinating household needs
• Arrange personal travel, accommodations, and itineraries
• Oversee apartment management and vendor coordination (e.g., contractors, service providers)
• Support philanthropic and community activities
• Track and reconcile expenses for both business and personal matters

Qualifications

• Bachelor's degree preferred
• 3+ years of experience as an Executive Assistant, Personal Assistant, or in a high-level support role
• Strong organizational and time-management skills with excellent attention to detail
• Ability to manage shifting priorities and deadlines in a fast-paced setting
• Proficient in Microsoft Office Suite (Excel and PowerPoint a must) and Google Workspace
• Exceptional written and verbal communication skills
• High level of discretion, judgment, and professionalism
• Valid driver's license, reliable transportation, and ability to commute across the Twin Cities

Work Environment & Hours

• Hybrid role: primarily remote, with required on-site work in Maple Grove and across the Twin Cities when the Owner is in town
• Full-time schedule, Monday through Friday, with occasional evening or weekend support as needed
